Mobile Notarization FAQs

General Information

1.     What is a mobile notary?

A mobile notary is a licensed local notary public that travels to the client’s preferred location instead of having the client come to them. Mobile notaries typically offer their services on an appointment-basis and can offer these services outside of typical business hours.

2.     What are the benefits of using a mobile notary compared to a traditional one?

A mobile notary offers their notary services at times and locations that are convenient for the client, and can do so often at an urgent basis. Having a mobile notary can save time for clients and help them secure notarizations at times where a traditional notary public is not available.

3.     What types of documents can you notarize?

Hermes Mobile Notary & Translations offers notarization services for a wide variety of documents, including affidavits, a power of attorney, deeds, wills, loan documents, consent forms, medical directives, real estate documents, and more.

4.     Do you offer services for loan signings or real estate closings?

At this time, Hermes Mobile Notary & Translations does not offer its notarization services for loan signings or real estate closings.

5.     Do you provide witness services if needed?

Hermes Mobile Notary & Translations does not offer witness services at this time. If a witness is required for your notarized document, the client must have one on site at the time of the appointment. Generally, a notary public cannot also serve as a witness to a document he or she is notarizing.

1.     What are your hours of operation?

Hermes Mobile Notary & Translations offers mobile notary services on 24-hour basis. However, services are offered on an appointment basis and appointments availability is subject to the mobile notary’s availability. Please contact us by calling, texting, or emailing us to determine availability for your appointment, and our mobile notary will reach out to you as soon as possible.

2.     What geographic areas do you serve?

Hermes Mobile Notary & Translations offers mobile notary services throughout New Jersey, primarily in Hudson County (West New York, North Bergen, Union City, Jersey City, Hoboken, etc.) and Bergen County (Fairview, Clliffside Park, Fort Lee, Hackensack, Englewood, Teaneck, East Rutherford, Rutherford, etc.). Mobile Notary services offered outside of Hudson County are offered at rates that are based on location and time of appointment. Contact us by calling, texting, or emailing us to get a free quote.

3.     How quickly can you get to my location?

We offer same-day or emergency appointments at all hours of the day, subject to our mobile notary’s availability.

4.     Do I need to schedule an appointment in advance, or can I call last minute?

Hermes Mobile Notary & Translations offers mobile notary appointments on an appointment-basis. However, subject to the mobile notary’s availability, we may be able to offer same-day or last-minute appointments. Pricing & Payment

1.     How much does a mobile notary service cost?

We offer flat rates for mobile notary appointments made within Hudson County, NJ. Mobile notary appointments made outside of Hudson County are offered at rates that are based on distance traveled and date and time. Check out “Our Services” page for more pricing information.

2.     How do you calculate your fees?

For mobile notary appointments made in Hudson County, NJ, we calculate our total fee based on a flat travel fee + per signature fee, with added fees for appointments made during the evenings and/or weekends. Mobile notary appointments made outside of Hudson County are offered at rates that are based on distance traveled and date and time. Check out “Our Services” page for more pricing information.

3.     What payment methods do you accept?

Hermes Mobile Notary & Translations is a cashless business. We accept payment through any US-issued and most internationally-issued payment cards, and also supports mobile wallets such as Apple Pay, Google Pay, and Samsung Pay. We also support payments with Zelle. Payment must be tendered before services are offered at time of the appointment.

4.     What is your cancellation policy?

Appointments that must be canceled because of missing or incorrect documents, lack of witnesses or all parties, or other faults on the part of the customer that are presented during the time of the appointment, are non-refundable with regard to the travel fee, as our mobile notary has already offered the travel portion of the service by traveling to the appointment. However, if the notarial act fee has been charged, it will be fully refunded.

Requirements for Notarization

1.     What do I need to bring to the appointment?

In order for the notarization services to be completed, the customer must have a valid, unexpired government-issued photo ID, the complete document unsigned, any witnesses that are required for the document. Hermes Mobile Notary & Translations does not provide witnesses and a notary public cannot serve as the witness to a document that he or she is notarizing.

2.     What forms of identification do you accept?

Acceptable forms of identification for the notary appointment include current and valid Driver's licenses, state IDs, passports, military IDs, and other non-expired government-issued photo identification.

3.     Can the document be signed before you arrive?

No. In order for a notary public to complete the notarization of a document, the notary must witness the signature(s) in person.

4.     Do all signers need to be present?

Yes. Unless otherwise specified by the acceptor of the notarized document or the document itself, all signers need to be present for the notarization to be completed.

5.     Can you provide legal advice or help me fill out my document?

No. Hermes Mobile Notary & Translations does not provide legal advice, draft and/or complete documents, or offer advice on what type of notarial act is needed for the document to be notarized. If there are questions as to what type of notarial act is needed (Acknowledgments, Jurats, Oaths/affirmations, etc.), please verify with the acceptor of the notarized document.

6.     What if my document is not in English?

In order for a notary to successfully notarize a document, he or she must be able to read the document. Our mobile notary is fluent in English and Spanish, and cannot notarize a document that is not in English or Spanish.

Process & Security

1.     What does the notarization process involve when you arrive?

At the beginning of the appointment, our mobile notary will verify the ID presented by the customer, review the document, and once the notary determines that all the requirements for the notarization are satisfied, the notary will ask for payment. Once payment is completed, the notary will administer any oath/affirmation required, witness the signature(s), affix their seal, and will ask that a journal entry be completed and signed by the customer.

2.     How do you ensure the confidentiality and security of my documents and information?

Hermes Mobile Notary & Translations takes confidentiality and privacy seriously. Every appointment is bound by strict rules of confidentiality, and copies of any documents or forms of identification are kept by us.

3.     Do you keep a copy of my document?

We do not keep copies of documents or forms of identifications for our mobile notary services, and the only record we keep of the appointment are notes written in the notary’s journal that is required to be maintained by State law. If a copy of the notarized document is needed, our notary can scan the document and provide a digital copy of the document sent via email as a courtesy. Once received, the email and documents are deleted before the end of the day.

1.     What happens if there's an error in the notarization?

Errors made by the fault of the customer (incorrect notarial act communicated to notary, wrong form, issues with signature) are non-refundable, as our mobile notary has already offered the travel portion of the service by traveling to the appointment and notarizing the document as per the customer’s instructions. Notaries cannot provide advice on what notarial act is appropriate for the document. However, if the error is on the part of the notary, we will offer a new appointment (subject to availability) at no cost to correct the error.

4.     Do you offer Remote Online Notarization (RON)?

At this time, Hermes Mobile Notary & Translations does not offer remote online notarization services.

Translation Services FAQs

Scope of Services

1.     What languages do you translate?

Our translator offers English language translation and Spanish language translation services.

2.     What types of documents or content do you translate?

Hermes Mobile Notary & Translations offers standard and certified translations for a wide variety of documents such as legal contracts, medical records, birth certificates, academic transcripts. We also offer translation services on a larger scale, such as the translation of websites, marketing materials, instruction manuals, and more. Contact us and let us know what you need translated, and we can provide a free quote for your translation.

3.     Do you provide interpretation services (spoken language) as well?

At this point in time, Hermes Mobile Notary & Translations does not offer interpretation services, and offers only written translation services in English and Spanish.

4.     Do you offer certified translations? When are they needed?

Hermes Mobile Notary & Translations offers certified English translation services and certified Spanish translation services for a variety of documents, including (but not limited to) USCIS documents, legal documents, and academic documents. Our certified translations include a signed certificate of accuracy in English or Spanish.

5.     Do you offer notarized translations?

Although our certified translations are not typically notarized, we can secure a notarization for the certificate of accuracy that comes with the certified translation if it is required in your jurisdiction.Just let us know ahead of time and we will make sure the certification of accuracy is notarized. Please note that additional fees apply if notarization is needed, and notarization may affect delivery estimates.

Process & Turnaround Time

1.     How do I submit my documents for translation?

At this time, Hermes Mobile Notary & Translations accepts the documents to be translated through email only. Once an estimate of cost is provided for the translation service, we will ask for the document via email.

2.     What file formats do you accept?

We accept documents in the following format: Microsoft Word, PDF, XML, and scanned images. If your document is in a different format, please let us know.

3.     How long will it take to translate my document?

Our standard digital delivery time for translated documents is currently 3-5 business days, although larger projects may require more time for the translation to be completed.

4.     Do you offer rush or expedited services? What are the additional costs?

Hermes Mobile Notary & Translations does offer an expedited service at an additional fee of $10 for standard translations that do not require a certificate of accuracy, and $25 for certified translations. This fee applies per document. Expedited delivery times are currently 2-3 business days. Please note that the expedited delivery time and fee may vary for projects of a larger scale.

5.     How will I receive the final translation?

Our translations are delivered digitally via email at no extra cost. Physical delivery of the hard copies of the translations are offered at an additional fee.

Quality & Accuracy

1.     How do you ensure the quality and accuracy of your translations?

Our English-Spanish translator is a native bilingual speaker of the English language and Spanish language, and has also earned a Bachelor of Arts in Linguistics with an added concentration in Spanish Linguistics. This translator utilizes industry-standard translation software in order to ensure the accuracy and quality of the translations delivered. Our translator is also a member of the American Translators Association (ATA).

2.     Do your translators have expertise in my specific industry or subject matter?

Although our translator has experience translating a wide variety of documents, they also have an expertise in legal documents thanks to a decade and more of experience in the legal industry.

3.     What if I have questions or concerns about the translation after delivery?

We are happy to answer any questions regarding our translations after delivery. Any revisions that are needed based on the translator’s work will be taken care of at no extra charge.

4.     Can I provide reference materials, glossaries, or style guides?

Our translator is happy to look at any reference materials, glossaries, or style guides that may be helpful for the project. However, additional time needed to review these materials may affect costs. Let us know of such materials when requesting a quote and we will let you know if any additional costs apply.

Pricing & Payment

1.     How do you calculate your translation costs?

Our standard and certified translation costs are calculated based on a per page rate, with 250 words equaling one page. Standard translations are offered at $25 per page, and our certified translations are offered at $30 per page. Please note that the number of words on the page and not the number of pages is what determined the total price. For example, if a single page document is provided and the single page contains 500 words, the cost would be $50 for a standard translation and $60 for a certified translation.

2.     Are there any minimum charges?

The minimum charge for a document that contains less than and up to 250 words is $25 per page for standard translations, and $30 per page for certified translations. This minimum also applies for any additional number of words beyond the 250-word per page limit. If, for example, a document is 300 words, the total cost would be $50 for a standard translation ($25 for first 250 words, $25 minimum for the 50 additional words) and $60 for the certified translation ($30 for the first 250 words, $30 minimum for the 50 additional words).

3.     What factors influence the price?

Total amount of words contained in the document, along with any requested expedited delivery times and hard copy requests affect the total cost.

4.     Do you offer discounts for large volumes or recurring projects?

Although we are currently not offering any discounts at the moment, let us know about any assistance with recurring projects that may be needed and we may be able to offer a special rate for the translation services.

5.     What are your payment terms?

Once a price estimate is provided and the customer agrees to move forward, upfront payment is required via invoice online.

Confidentiality & Security

1.     How do you ensure the confidentiality of my documents and information?

Hermes Mobile Notary & Translations takes confidentiality and privacy very seriously. We ask that documents be uploaded via a form on our website. All documents submitted are deleted from our systems by default up to 2 weeks after they are uploaded, and can be deleted even sooner at a customer’s request. Completed translation files are also deleted from our records within two weeks after delivery of the document to the customer, and can be deleted even sooner at the customer’s request.
